Optic Systems 2.8.1

What's New

Notification Management - Users can now control app notifications with a master toggle to enable or disable alerts globally. When Issues or Opportunities assigned to you are updated, you'll automatically receive in-app and email notifications. Additionally, the user interface has been updated with an improved design.

Asset Categories - Asset categories are now fully supported with color-coded pin visibility on maps. Create and manage asset categories with 10 preset pin colors to visually distinguish asset types in the Inspection Hub and asset modals. Uncategorized assets continue to display in the default blue.

Violation Export Consistency - Integrated violation exports in PDF and CSV formats now match the violation detail view, providing consistent formatting across all reporting channels. Violation history performance has been improved for faster page load times on communities with extensive violation records.

Route Selection Improvements - Route selection in the video player has been corrected to ensure the correct route loads when switching between inspection videos. Multi-route communities now have better support for accurate planning and visualization.

Address Management - The geocoding tool is now integrated into the address creation modal, allowing users to geocode addresses directly without manual coordinate entry.

What's New

  • Assignment System — Issues & Opportunities: Users can now assign Issues and Opportunities directly to team members within the platform, giving teams clearer ownership and keeping workflows moving without the back-and-forth offline.
  • Notification Center: Stay on top of what matters with the new in-platform notifications. This initial release includes alerts for Issue and Opportunity assignments, as well as new video alerts. Upcoming versions will expand support to include status change alerts and scheduled inspection alerts.
  • Redesigned Community Settings Page: The Community Settings page has been redesigned with a cleaner structure and a more intuitive layout, making configuration faster and easier to navigate.
  • Mini Map — Active Filter Indicator: The mini map address icon now displays a visual indicator when an address filter is active during video playback, so it's always clear what you're looking at and why.

  • Resolved a route access issue affecting Landscape Org Manager users.
  • A display inconsistency impacting certain FSR integration users has been resolved.

What's New

Violation Image Upload - Users can now upload an image to a violation while it is still in Pending status. Previously, violations created without an image had no way to add one before finalization. An Upload Image button is now available within the violation modal for any violation that has not yet been finalized.

Violation History - The violation history log has been updated to only display activity after a violation has been finalized. History entries now focus on the actions that matter — finalization events, escalation finalizations, and status changes — each attributed to the user who performed them. Pending-state activity is no longer tracked or displayed.

Inspection Hub Default Filters - The violations list in the Inspection Hub now defaults to showing all active statuses, with closed violations excluded. Closed violations can still be accessed by adding the closed status to the filter or resetting filters entirely.

Bulk Letter Downloads - The bulk violation letter zip download process has been improved for security and reliability.

CSV Export Formatting - CSV exports for Assets, Work Orders, and Opportunities have been updated for clarity. The ID column now reflects the user-facing custom ID; the Community ID column has been replaced with Community Name; and the archived status now displays "Yes" or "No" rather than a numeric value.

Bug Fixes

  • Fixed an issue where violation creation would silently fail and leave users stuck on a loading spinner, caused by a compatibility change in recent versions of Chrome and other Chromium-based browsers.
  • Fixed an issue where large integrated violation batches would fail to fully finalize in a single attempt due to an error affecting violations with multiple escalation levels.
  • Fixed an error that prevented integrated violation batch pages from loading when a batch contained a large number of violations.
  • Fixed an issue where images attached to violations were not displaying correctly in the violation history log.
  • Fixed an issue where geocode edits would fail to save, resulting in error messages or infinite loading screens on both standard and integrated communities.
  • Fixed an issue where "_unset" was displaying instead of "N/A" or a blank field when no physical address was on file for a community.
  • Fixed an issue where changing the video resolution would cause a paused video to automatically resume playback.
  • Fixed an issue where the Edit Video modal would retain the previous GPX file state when opened for a different inspection in the same session, preventing users from saving without a page refresh.
  • Fixed an issue where the Inspection Hub mini-map loaded at an incorrect zoom level when opening a video in the player.
  • Fixed an issue where dismissing the image editor by clicking outside the modal caused the modal footer to disappear on subsequent opens.
  • Fixed an issue where photo attachments on assets were not displaying on the front end despite uploading successfully.

FSR Integration - The FSR integration and inspection experience has been significantly enhanced, introducing faster data synchronization and expanded access to the Inspection Hub:

  • Real-time data synchronization between Optic Systems and FSR systems.
  • Immediate pushing of individual violations and inspection batches, eliminating overnight sync delays.
  • Homeowner & CCR information stays continuously up to date.
  • Violations, work orders, opportunities, assets, and drone map imaging now share a single unified map via the Inspection Hub.
  • Easier switching between inspection videos and all routes are now visible at once on the map.
  • Large, full-screen map view for improved inspection review.

Upload Community - Community setup and onboarding has been enhanced to better support large agreements and faster configuration. Optic Systems administrators can now upload communities in bulk to support large-scale agreements, and a new single community add button and modal has been implemented to streamline individual community setup.

GPX Editor - Optic Systems administrators can now make necessary adjustments to correct missing or damaged GPS data directly within the platform, avoiding re-inspections and delays while ensuring inspection routes and location data remain accurate and reliable.

Violation Exports - Clients can now export violations using a dedicated single-violation view or a list view. The single-violation view is especially useful for integrated clients, as it provides a large image, complete violation details, and full violation history in a format similar to a violation letter. This makes it easy to review and share information with board members prior to finalization. The list view is available for quick reference when the full individual violation history and large image are not needed.

  • Stopped videos from auto-restarting at the end of playback; videos now pause at the end.
  • Improved the clickable zone for checkboxes sitewide.
  • Improved Inspection Hub load times for large communities.

Optic Systems 2.6.6

What's New

Route Planning - Route Planners can now insert new pins mid-route while editing an existing route, allowing missed streets or locations to be added without rebuilding the route. Pins can be previewed before placement, routes automatically recalculate, and existing pin order is preserved unless manually changed.

FVT Management - Admins can now deactivate driver accounts instead of deleting them. Deactivated drivers are clearly marked as inactive, excluded from uploads, scheduling, and permissions, and prevented from logging in, while all historical inspection and reporting data remains intact.

Community Settings - New fields have been added to Community Settings to support operational needs. Community Managers can now store Gate Codes and Scheduling Requests directly within the platform for easier access and coordination.

Addresses - The geocoding tool is now available when creating a single address, allowing users to geocode addresses directly within the creation modal without manual coordinate entry.

Bug Fixes

  • Fixed an issue where the Go to Video action could load the oldest video instead of the most recent footage for the selected address.
  • Improved address-to-video mapping to ensure users are routed to the correct route and valid property locations.
  • Added additional caching functionality to Address Search to prevent unnecessary recalculations when selecting the same address repeatedly.
  • Fixed an issue preventing users from searching for work orders, opportunities, and assets using the Custom ID field.
  • Resolved an issue where Violation History failed to load for certain communities despite existing data.
  • Fixed a UI issue where closing a violation modal before it finished loading incorrectly removed the violation row from the list until the page was refreshed.

What's New

Inspection Hub - The address pin color for homes with no active violations has been updated from light grey to white to improve visibility. In addition, substantial enhancements have been made to the Route Switcher, resulting in more accurate and consistent loading when switching between routes.

Route Planning - Route Planners can now insert a pin mid-route for greater flexibility during planning. Route Planners also have the ability to archive inactive routes when a community has been re-planned, or a route is no longer needed.

Bug Fixes

  • Fixed an issue causing the Finalized Date to display in the wrong time zone for some users.
  • Enforced a 50-character limit on Opportunity Category names.
  • Resolved an issue preventing Subtypes from syncing to Vantaca during the nightly sync for certain violations, which in turn caused Cure Periods to fail to sync accurately.
  • Improved error messaging when creating a new single address.
  • Resolved an issue that prevented users from closing violations in the Legacy Video Player.
  • Fixed an issue where GPX file replacements could fail without a clear error message and where the file opened in a new tab during upload instead of saving as intended.

What's New

Activity Logs - Each core module now includes activity logs to track actions performed. Updates to addresses, violations, work orders, opportunities, and assets will display all changes and history directly in the Inspection Hub.

Exports - Users can now export Work Orders, Opportunities, and Assets as individual item reports or bulk lists, available in both CSV and PDF formats for analysis, documentation, and sharing.

Edit GPS Data - A new module has been added for Optic Systems admins, allowing them to adjust the start and end points of GPS recordings. This makes it easy to correct excess GPS data logged outside of a video recording.

Route Permissions - Clients can now create, edit, and remove routes in the FVT Navigator App. This feature is automatically enabled for clients who record their own footage for use in Optic Systems.

Single Address Creation - Users can now manually create individual addresses within communities, a spreadsheet upload is no longer required for single entries. Spreadsheet imports remain supported for bulk uploads.

  • Added support for uploading images to Work Orders, Opportunities, and Assets after initial creation.
  • Fixed a dashboard formatting issue affecting users with limited permissions.
  • Improved overall integration stability and performance.
  • Fixed an issue that caused inactive Violation Stages to show above the active stages.
  • Re-enabled JPG file downloads for CINC clients.

What's New

Inspection Hub - Go To Video precision has been improved for easier jumping from the map or list directly into the video. The Map Legend has been updated with clearer details for addresses and routes. Address Search now returns to the Inspection Hub video player with improved functionality, automatically panning the camera to the front of the home.

Images No Longer Required - Users are no longer required to upload images for violations, assets, work orders, and opportunities.

Batch Email Alerts - Email alerts for approved videos are now sent in batches instead of individually. Batching waits up to one hour to group approvals, reducing email volume (e.g., one email listing 10 approved videos instead of 10 separate emails).

  • Fixed an issue preventing address notes from saving on communities with integrations.

Overview

Version 2.6 introduces the most significant update to the violation creation process since our full platform redesign at the beginning of 2024. With major improvements to inspection workflows, dashboard functionality, and the introduction of the Violation Cart, this release is designed to enhance usability, speed, and team coordination for our Compliance View 360 clients.

Inspection Hub Now Available to All (Non-Integrated) CV360 Clients - Now replacing the old video player for CV360 clients, the Inspection Hub has been expanded to include full support for addresses, violations, and all other core modules, brought together in one streamlined interface. Available immediately to clients without full third-party integrations. Support for FSR Connect, Vantaca, and Appfolio, along with near real-time sync, coming soon.

  • Integrated View: The full-page map and video player now run simultaneously, delivering a complete all-in-one inspection experience allowing users to easily pick between the large map or video player with seamless access to all Optic Systems modules.
  • Faster Navigation: Seamlessly switch between routes and previous inspection videos without leaving the Inspection Hub or reloading the page.
  • Complete Workflow: This version brings over all violations and address components, along with support for work orders, opportunities, and assets, enabling end-to-end inspection management from one screen.
  • Design Improvements: The violation creation modal has been updated with a more intuitive image editor. The address modal has been fully redesigned for improved clarity, with key property details now easier to view. In the map and address list views, new icons indicate if a property has important notes or open violations.
  • Improved Field-of-View Calibration: We've significantly enhanced the cone calibration process through both software improvements and updated equipment used in the field.

Dashboard Enhancements - Clients with access to the Inspection Hub and Violations will now see quick action buttons on the Community Dashboard, allowing users to create violations, work orders, opportunities, or assets without needing to load the full Inspection Hub. Perfect for one-off issues or fast, in-the-field work.

Violation Cart - Designed to improve efficiency for teams with dedicated video review staff or third-party inspectors, the Violation Cart centralizes the finalization process for managers.

  • Centralized Review: See every pending violation for the community in your cart, even if there are multiple routes or violations pending from previous inspections.
  • Batch Finalization: Finalize only the violations you select, just like a shopping cart. The remaining violations will stay in the cart until you're ready to finalize them.
  • Board-Ready Output: After submission, you'll be directed to a page where you can download all letters and/or a quick summary report for your Board of Directors.

What's New

Route Editor - Several areas of the platform have been optimized for faster and smoother performance. The Community Settings page now loads more quickly, the Home button responds more efficiently, and the Calendar page has reduced load times. We've also improved client-side caching for violation images, resulting in faster image rendering across the platform.

FVT Navigator - The Driver App now includes two key updates to improve field usability. Community Notes are now visible to inspectors, giving them better context during inspections. Additionally, a load indicator has been added to the Directions feature to provide clearer feedback when route data is loading.

Performance Improvements - We've made additional performance improvements across key areas of the platform, including the Home page, Community Dashboard, and Inspection Hub. FVT Navigator - Drone scan satellite imagery can now be used as the base map when navigating properties within FVT Navigator. This provides a more accurate and detailed visual reference for large or complex communities. Additionally, we've improved the functionality of the back button to better support seamless in-app navigation.

What’s New

Performance Improvements - We’ve rolled out major speed enhancements across the platform. Video buffering time has been reduced, and streaming is now smoother and more reliable, with longer segments loading in advance for improved playback stability. Key pages like the Community Dashboard and Inspection Hub also load significantly faster. For the best experience, we continue to recommend using Chrome or Firefox, which remain the only fully supported browsers.

Map Imaging - Google Maps satellite view is now available as a premium option within the Inspection Hub. Communities using this feature will appear in a new section of the billing report for each client. To enable satellite imagery or to request pricing details, please contact your Optic Systems sales representative.

Multi-Route Planning - Added enhanced support for communities with multiple routes. While planning, you can now view the full route path, including start and end points for each individual route, allowing for more accurate and efficient planning.

  • Resolved "Image Error" messages appearing on some asset and work order images.
  • Fixed an issue where previously existing work orders were not displaying in the Inspection Hub for videos undergoing Virtual Account Management.

What's New

Map Imaging - Drone scan imaging can now be used as the default map layer across all site modals. Before, this was only available in the Inspection Hub Map—now, it's accessible as the optional default layer in all site modals as well as the map, providing a clearer, more detailed view for better site management.

Video Uploads - Clients who upload their own videos can now bypass our QC Team, giving them full control over their uploads. This speeds up processing times and eliminates unnecessary steps, making it easier to manage time-sensitive content.

Integrations - Optic Systems staff can now run one-time community syncs directly from the site, removing the need to wait for manual syncs from the development team. This ensures quicker updates and smoother operations.

  • Fixed an issue causing some integrations to time out during nightly syncs.
  • Added a safeguard to ensure all violations are pushed even if a timeout occurs.

    • “Pending” violations will now show address pins as blue on the map (Previously they displayed red, the same as open violations).
    • The work order and opportunity pins have been redesigned and are now supported on the video inspection map.
    • The ability to switch between satellite image providers is now supported directly from the video inspection page.

    Work Order Database Page - New hover functions have been added to the split-screen view, enabling users to hover over a pin on the map to highlight the corresponding item on the list, and vice versa. Additionally, the redesigned work order and opportunity pins are now on the work order database page.

    Vantaca Integration Improvements - Clients with V3 Vantaca Integration will be allowed to re-assign violation Sub-Type's (CCR Details), providing a temporary work-around for some system compatibility issues.

    Bug Fixes

    • Improved support for removing client personalization, as well as support for additional light and dark mode customizations.
    • Fixed an issue preventing the ability to properly update an opportunity value.
    • Fixed an issue preventing the ability to remove the opportunity label from a work order.

    • When finalizing a violation, a message now displays when violations are finalizing. Once the process completes a message displays with how many were finalized, and if any failed to finalize.
    • Violation finalization now updates in real time on the inspection page.
